We’re looking for a part-time accounts administrator! 

The Green Lab creates urban green spaces that support strong social connections and promote wellbeing in Ōtautahi Christchurch.  Our green spaces enable community building and connect people with nature in the urban environment.

Our Accounts Administrator is a crucial role within a small team ensuring that financial systems are kept up to date, invoices are paid in a timely manner and  accurate information is provided to the Director for funding applications and reports. 

This position is 6 hrs/week and may sometimes include after hours and weekend work. Timing is flexible and work may be done remotely for the most part.  The position is initially 6 month contract, with the possibility of extension.  If you have an interest in social media or other general administration tasks, we are open to considering a slightly larger role with the right applicant.

Key Responsibilities: 

Financial Management 

  • Manage all TGL financial systems and processes: Accounts Receivable/Payable, budget, banking 
  • Regular entry of financial transactions into Xero including reconciliations with bank activity – daily, weekly, monthly
  • Report on financial status of organisation when required including monthly financial reports for the Board highlighting any variances from the budget 
  • Maintain payroll system ensuring that all staff are paid on time and update leave register
  • Ensure that all creditors are paid on time and that all payments have been correctly approved and allocated to the appropriate cost centre before payment
  • Audit, submit and pay two-monthly GST returns when required, ensuring that all payments are remitted to the IRD by their due dates 
  • Prepare financial information for funding applications; track spending on grants received; prepare of the financial acquittal at the end of the grant period

    General Administration 

  • Management of all physical correspondence and Accounts email address
  • Maintenance of Accounts hardcopy / digital archive
  • Develop instructions / templates / guidance around systems use and improvements

    Desired Skills & Competencies:  

  • Knowledge of Xero accounting software including payroll systems essential
  • Knowledge of GST processes & myIR system essential
  • Attention to detail, able to methodically follow systems and implement change  essential
  • Awareness of the responsibilities and obligations of Te Tiriti O Waitangi essential
  • Knowledge of non-profit and Charitable Trust requirements useful
  • Interest in and knowledge of community project practices useful
  • Interest in plants and wellbeing would be a bonus
